Mooderator is a service operated by Arnaud Rouillot Consulting (“we,” “us,” or “our”), which is the data controller responsible for the information described below. This Privacy Policy explains how we collect, use, store, and protect your personal and business information when you use our SaaS platform. By accessing or using the Service, you agree to the practices described in this policy.

Account Information: When you register for an account, we collect information such as your name, email address, business details (e.g., café or restaurant name, location), and contact information.

Payment Information: If you subscribe to our services, we collect payment details necessary to process transactions. Payment data is handled by our third-party payment processors and is subject to their privacy policies.

Usage Data: We automatically collect information about how you interact with the Service, including your IP address, browser type and version, device type, pages visited and duration of visits, as well as diagnostic and performance data.

Google Business Profile Data: When you connect a Google Business Profile, you authorize Mooderator through Google’s consent screen to access that profile on your behalf. Using the access you grant, we retrieve the reviews published on your business locations — including review text, star rating, review date, the reviewer’s public display name, and any reply you have posted — together with each location’s overall rating and total review count. We use this information only to provide the reporting and reply features described in this policy, and, where you ask us to, to publish replies you have approved back to your profile. The credentials that authorize this access are stored encrypted. You may disconnect a profile at any time, after which we delete those credentials and stop retrieving new data.

Cookies and Tracking Technologies: We use cookies and similar tracking technologies to enhance your experience, monitor usage trends, and administer the Service. You may adjust your browser settings to refuse cookies; however, some features of the Service may not function properly without them.

We use the collected information to:

• Provide, maintain, and improve the Service
• Generate and deliver monthly reports and trend analyses, including the proportion of positive, neutral, and negative reviews, a breakdown by category (products, customer service, and general), and a written summary of the period’s reviews
• Calculate a reputation score for your business from signals such as review volume, ratings, and the rate at which reviews receive a reply
• Translate reviews written in other languages so they can be included in your reports
• Notify you of low-rating reviews and provide AI-generated response suggestions
• Process payments and manage subscriptions
• Communicate with you regarding updates, promotions, or important notices
• Ensure the security and integrity of the Service

With Service Providers: We may share your information with trusted third-party vendors who help operate the Service (e.g., hosting providers, payment processors). These vendors are contractually obligated to protect your data and use it only for the purposes we specify.

With Our AI Provider: To produce the categorizations, monthly summaries, and suggested replies that make up our reports, review text and star ratings are sent to OpenAI, which processes them on our behalf and returns the result. Data submitted through OpenAI’s API is not used to train their models. We do not send your account, contact, or payment information to this provider.

For Legal and Safety Reasons: We may disclose your information if required by law, to comply with legal processes, or to protect the rights, property, or safety of Mooderator, its users, or others.

Business Transfers: In the event of a merger, acquisition, or asset sale, your information may be transferred as part of the transaction. We will take steps to ensure that your data remains protected in any such transfer.

Mooderator’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Specifically:

• We request only the business.manage scope — the narrowest scope that lets us read the reviews on the locations you manage and publish replies you have approved.
• We use Google user data only to provide and improve the user-facing features described in this policy: monthly reports, review categorization and scoring, low-rating alerts, and AI-generated reply suggestions.
• We do not transfer Google user data to third parties except as necessary to provide these features (see Section 4), to comply with applicable law, or in connection with a merger or acquisition.
• We do not use Google user data for advertising, and we do not sell it.
• We do not permit humans to read Google user data except with your explicit consent, where necessary for security purposes or to comply with applicable law, or where the data has been aggregated and anonymized.
• We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models. The AI processing described in Section 4 applies existing, pre-trained models to your data in order to produce your reports; your data is never used as training material.

We implement reasonable administrative, technical, and physical safeguards to protect your personal information. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Depending on your jurisdiction, you may have rights regarding your personal data, including the right to:

• Access, correct, or delete your information
• Withdraw consent for data processing
• Object to certain types of processing

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected or as required by applicable laws and regulations.
